We at Bytek MPS Ltd take a considered approach to the way that we deliver our service to our customers. Where as we put the printed document at the forefront of our business plans, one size most definitely does not fit all.
With each customer we take a bespoke approach looking at what the needs of each customer and tailoring a solution to those needs. To this end we offer some solutions that give each customer exactly what they require from our service:

This is by far the most popular version of Managed Print Services and the easiest model for potential customers to relate to. It gives the customer a simple vision of the costs and the equipment that will best suit their needs. In the market you will find that the delivery of managed print service is rigid. Most companies operate to either a ‘Use it or loose it’ (if you don’t reach the agreed number of pages each month then you loose them) or a Billing each month for excess pages over and above the agreed numbers in the contract. Our approach is to look at this over a 12 month period. We send you a report each month giving you a year to either reduce the excess or to pay for a more realistic number of pages each month.

Cost per Site
When a customer has multiple sites through out the area or nationwide we offer a fixed monthly price for each location. Together with the customer we select a standardised machine that give similar features on each site and we agree on a monthly allowance for colour and or mono pages.
Some sites will print more than others so we look at the overall print usage and we aggregate these over a full year. This takes into account the varying usage on each site and the seasonality of print in general. This approach is ideal for the hospitality sector and the retail sector.
Fixed Billing for Schools
Schools operate for on average 9 months per year. Most printing and copying takes place between end of August and November (approximately 40% of annual usage). In most contracts given to schools the photocopiers are leased over 12 months and the printers are purchased as and when required.
The service costs are billed either on a monthly basis or quarterly. The cost of purchasing toners for printers typically come in the first weeks of September each year. This means that in the first term of every year schools are hit with the majority of their costs for the full year.
Our approach is very different, we supply all the equipment to the school, multifunction photocopiers, personal printers, departmental MFP’s we include all supplies for all machines and we break down the annual costs either monthly or quarterly and fix it for 5 years. Simple ! And because we apply the mantra of bulk buying and standardisation, we can achieve over all savings of in excess of 50% on what the school spent last year.
Technology in MPS
Technology in Managed Print services is changing and developing every month. The industry has benefited from some major developments in both Laser printing and the resurgence of ink jet technology. One thing is for sure that the devices we put into the field have improved in both productivity and security since we opened our doors 9 years ago. But these improvements have not been led by any one manufacturer but by all manufacturers in small but significant ways. As principals in the company our greatest challenge is to find ways of harnessing these strengths and blending technologies with software to keep ahead of these developments to ensure that our customers and always ahead of the curve.
Over the past number of years we have worked closely with third party software suppliers to give our customers the benefit of these advantages and we are very pleased to be partners with the following software solutions:
Technology Programs
Print Audit™ is a Canadian software supplier who have gained worldwide attention with their remote management product. It allows us to monitor our customers usage. We can see how many pages you print / copy / fax / scan, we see all colour and mono pages, we can see all machines in an office, location, nationwide spread of machines and one-off machines in remote locations. The software compiles reports that we send out monthly to our customers. The software sees all consumables in every machine and sends us alerts on levels when the consumables need to be replenished.
Guess Page is a French product that combines print security with controls. We use this product to enable customers to manage their print. Guess Page is excellent in environments where the need to ensure that security of data and control of who prints and what they print is a priority. The software allows the customer to determine who has access to colour or mono printing, it allows the customer to determine how much colour an individual or department has, it sets rules as to which devices can be accessed by individuals. The greatest benefit to this software is the licensing is based on the output device and not the use
Site Management
All of our customers printers are closley monitored. This site management allows us to provide our customers with leading edge customer service.
Supplies Management
The management of the supplies that our customers require be that toners / drums / inks etc is controlled using technology. Unlike most of the other companies in the copier and printer market we do not need our customers to call us for toners.
We install Print Audit on all of our customers sites. It monitors the current levels of supplies in every machine down to single percentage points. So when any toner or ink gets to 15% remaining in their machines we get an alert. With this alert we send out the replacement. This applies to all supplies in all machines.
Management Reports
Every customer receives a monthly report from us on what has happened last month. The software generates a report that details the colour and mono usage for the last month. It details each machine, each location and the totals in colour and mono. If you require additional information on how many A3 V’s A4, double sided prints or how many scans were made this information is available on request.
With this information we compile reports for some customers on annual usage and print trends. This is helpful if a customer has opened new facilities and new remote locations and they want to see how this has impacted their current agreement. Analysing trends in printing helps customers to plan growth of services.
